Financial Policies

Cancellation & Rescheduling Policy

The Acupuncture Studio VT requires 24 hours notice for all appointment cancellations and rescheduling requests. Changes can be made online through our scheduling system up to 24 hours in advance, or during regular clinic business hours by texting or calling 802-547-5231 or emailing calm@theacupuncturestudiovt.com. Any cancellations within 24 hours of the appointment time must be made by phone or email. 

  • Effective immediately, appointments canceled less than 24 hours in advance, as well as no-show appointments, will be charged the full fee of the appointment to the card on file. This policy applies to all appointments, for both new and existing patients.

  • For Microneedling services, appointments canceled less than 72 hours in advance will be charged 50% of the appointment value, and less than 24 hours will be charged the full fee of the appointment to the card on file.

  • Appointments are considered canceled and forfeited 15 minutes after the appointment time without advance notice, and the full fee will be charged to the card on file per the policy. Please contact us at 802-547-5231 if you are running late.

  • While we understand that life happens, we do not offer any exceptions to this policy

Your appointment time is reserved for you, and our team works hard to prepare for your appointments and provide high-quality care.

When you schedule an appointment with us, you are actively agreeing to our policy and acknowledging that if you cancel or no-show within 24 hours, you will be charged the full fee to the card on file.

If you have an upcoming appointment and anticipate that you may not be able to make it for any reason, including illness, weather, personal, or work obligations, please proactively reschedule your appointment more than 24 hours in advance. 

After you cancel, if you end up being able to make the original time and it remains available, you can always put yourself back on the schedule up to 2 hours before the appointment start time.

We ask that you prepare for your appointments by contacting us well in advance if you need to make adjustments to your bookings. Our cancellation policy is in place to value the time and guarantee the income of our providers, and is non-negotiable. 

Payment

Payment is due at time of service. Forms of payment accepted include: cash, checks, debit and credit cards (Visa, Mastercard, Discover, and American Express), and HSA/FSA cards. Please make checks payable to The Acupuncture Studio LLC.

Insurance

The Acupuncture Studio VT is not in-network with any health insurance companies, and we do not bill insurance (health insurance, auto, or worker’s comp) for services provided. If your insurance company covers acupuncture services, we are happy to provide you with a receipt (superbill) for you to submit to your insurance company for possible reimbursement.

All services provided that will be submitted for out-of-network health insurance reimbursement with a superbill must be charged at the full and regular appointment fee. Superbills are not available for reduced rate, package rate, or discounted services if being submitted to health insurance.

    Traditional Chinese Medicine (TCM) understands illness to result when our qi, or vital energy, fails to course properly throughout our body.

    Acupuncture stimulates the proper flow of qi in our body’s pathways to treat the root cause and symptoms of disease simultaneously.

    Acupuncture is an effective, safe way to treat conditions anywhere in the body.

    Even if you do not have a specific condition or health concern you’re looking to treat, acupuncture is a great way to reduce stress and improve overall health.

    We will discuss your specific goals in great detail on your first visit.

  • No! Acupuncture needles are around 1/30th the width of a typical injection needle you’re likely accustomed to from the doctor’s office.

    These tiny pins should not create pain. If you feel any discomfort, please let your acupuncturist know. We can adjust to ensure your comfort.

  • Each patient requires a unique number of treatments based on their condition, severity of symptoms, and overall health. When you come in for your first treatment, we will work with you to design a personalized plan of care.

    Most patients require a course of treatments to get the most out of acupuncture. Just like going to the gym, results are seen over time and consistency is key.

    Typically, treatments are more frequent at first and taper down over time.

  • Please make sure you’ve eaten something 1 - 3 hours before treatment.

    Following treatment, hydrate and try to take some time to relax to get the most from your session.

  • Both are the same high quality treatment— one is just in a shared space (community) and the other is in your own room (private).

    In community acupuncture, we treat patients in two larger rooms in zero-gravity chairs. Everyone stays fully clothed, just rolling up pant legs and shirt sleeves, to ensure patient comfort. We needle points on the arms, legs, and head to treat pain or conditions affecting any area of the body. Yes, we can even treat back pain by placing a needle on your forearm!

    By serving patients in a group setting, we can see more people and keep our prices accessible. This way, you can come back as many times as you need to stay well. And, it’s fun to come with a friend or loved one and get treated together!

    In private acupuncture, we treat patients individually in smaller, private rooms on a treatment table. Just like community treatment, we may place needles on the head, arms, or legs. And, we may also work directly on the back or abdomen.

    By treating in a private room, patients are able to receive extra modalities like cupping, or Celluma light therapy in the case of Cosmetic Acupuncture service. Some people prefer to relax in a space that is entirely their own for treatment.

    Patients often appreciate the ability to alternate between community and private treatment according to their needs and preferences!

  • We are happy to provide you with a receipt to submit to insurance, and they will reimburse you directly if they cover acupuncture.

    We do not bill insurance companies directly.

  • To book with someone else, you will need to select time slots that are back to back. For instance, if you book for 3 PM, make sure your friend books for 3:15 PM. You may arrive together for your convenience. Please contact us if you need assistance!

  • Yes! Acupuncture can be a wonderful therapy to help you through the challenges and joys of pregnancy.

    Please let us know if you are currently pregnant, so we can adjust your treatments accordingly.

  • We take COVID-19 seriously. To keep our community safe, please do not come to the clinic if you have cold, flu, or COVID-19 symptoms.

    Please also refrain from coming in if you have knowingly been exposed to COVID-19 within the past 14 days.

    Our studio is equipped with top of the line HEPA air purifiers to keep the air circulating and clean.

    Per the State of Vermont, at this time, masks are optional for patients. I’m more than happy to wear a mask while treating you if you prefer.

  • Not 100%— you may drive directly up to our door and park out front. But, our parking area is not paved with cement. We do have a ramp entrance. Our bathroom is large enough to accommodate a wheelchair, but we do not have a grab bar. If you are in need of accommodations and have questions, please don’t hesitate to reach out!
